If your nonprofit team is running on fumes by juggling too many priorities, too few people, and way too little time, you’re not alone. Across the sector, there’s a growing crisis of capacity. In fact, 65% of nonprofit leaders say they don’t have enough staff to deliver their programs and services.
But there’s a smarter way to scale and it is one that doesn’t require another full-time salary or endless hiring cycles. It’s called fractional staffing, and it’s reshaping how nonprofits build sustainable capacity without breaking the bank.
Vicki Burkhart, founder and CEO of The More Than Giving Company, has been leading the charge on this model for over 27 years. Her firm has supported more than 230 nonprofit clients through fractional and virtual staffing, including the groundbreaking Nonprofit Virtual Assistant (NPVA) program.
The concept is simple but powerful: Instead of hiring a full-time staff member, organizations bring in a seasoned professional fractionally, for exactly the hours and skills they need.
“It’s not an either/or,” Vicki explains. “Fractional support can take administrative tasks off your plate almost immediately, opening up bandwidth and even introducing higher-level expertise at a fraction of the cost.”
For nonprofits feeling the squeeze, that flexibility is game-changing. You can scale up or down based on your workload, budget, or seasonality. And because you’re only paying for what you need, it’s a financially sustainable way to grow.
The NPVA program was born out of Vicki’s decades in nonprofit leadership and her frustration at never having enough administrative support. The goal? To give executive directors and development teams exactly what they need, when they need it, for as long as they need it.
These nonprofit-trained virtual assistants can help with:
Calendar management and email triage
Board and committee coordination
Donor database management and gift acknowledgments
Prospect research and sponsorship tracking
Event planning and logistics
Marketing support, including social media and newsletters
Each NPVA is hand-matched with a client based on deliverables, not job titles. That means they’re selected for the skills, time zone, mission interest, and technical proficiency your team actually needs.
“We don’t just match on a job description,” says Vicki. “We want to know what you want to accomplish. That’s how we keep ROI high.”
One of More Than Giving’s long-term clients, a national membership-based nonprofit, started with a single NPVA named Kacey. Within three years, Kacey became the operational hub of the organization by managing members, supporting the board, and running their annual conference.
Her work helped the group grow so much that their board is now planning a full strategic expansion.
“She’s the only paid professional they’ve ever had,” Vicki shares. “And they just keep building around her.”
That’s the ripple effect of the right fractional hire: better systems, less burnout, and renewed energy to focus on mission-critical work.
Hiring an NPVA doesn’t require a big leap or a big budget. Packages start around $550 per month for 10 hours of dedicated nonprofit support. You can adjust hours month-to-month, pause when needed, and roll over unused time.
That flexibility is what makes it so appealing for smaller organizations and solopreneurs.
As podcast host Dana Snyder puts it:
“I remember thinking, ‘Okay, I’ll try this for a few months.’ It took so much off my plate, from podcast management to content and operations. Once we found the right fit, everything just clicked.”
If you’re wondering whether it’s time to bring in a NPVA, Vicki recommends this simple exercise:
List everything you do in a day.
Cross out the things you shouldn’t be doing as an executive or director.
Add the tasks you never get to: the ones you know would move your mission forward if you had time.
Chances are, that second list is where your next hire should start.
And if budget is your biggest hesitation, start small. Talk to your accountant or fractional CFO, plug in the numbers, and test it for a few months. Often, the financial impact is minimal and the productivity boost is immense.
Fractional staffing isn’t just a trend; it’s a survival strategy for today’s nonprofits. By tapping into experienced professionals on a flexible basis, organizations can scale smarter, not just bigger.
The capacity crisis is real, but so is the solution. With the right support, nonprofit leaders can finally step out of the weeds and back into their zone of genius: leading with vision, creativity, and purpose.
